Accommodation and Travel Expense Policy

What is covered?

Any travel and accommodation costs associated with attendance at core teaching activities and clinical rotations according to specified criteria below.

Attendance at core teaching-related activities

Mileage will be provided for attendance at core teaching programs, which includes any sessions of the following:
  • Behavioural medicine curriculum
  • Ethics curriculum
  • Palliative and end of life curriculum
  • Wednesday academic half-days (PGE and Department of Family Medicine)
  • Other courses: Neonatal Resuscitation Program
Accommodations can be provided for those residents who are traveling from out of town to attend any core teaching programs that occur in the morning. Please note that accommodations will be provided at designated sites.

Core & elective clinical rotations

Core clinical rotations include any rotation that IS NOT an elective. Typically core rotations include family medicine, surgery, medicine, OB/GYN, pediatrics, emergency medicine, core selective, and rural family medicine (for London and Windsor residents) but can vary among different programs. Elective clinical rotations include rural family medicine (for London Regional residents) along with any other elective rotation within SWOMEN boundaries.

Mileage and accommodation reimbursement are provided for core and elective rotations done outside home-based family medicine training site that is > 40 km from home-based family medicine training site.

See below for details regarding each program for Family Medicine core clinical rotations. NOTE: daily mileage is not provided for ANY core rotation.

  • London Program
    • Residents in the London Program are expected to have primary residence in London.
    • Core rotations done >40 km outside of London will have 1 round trip mileage reimbursed and accommodations provided at designated locations or, upon submission of receipts, up to $600 will be reimbursed for alternate accommodation if designated accommodations are not available.
  • Chatham Program
    • Residents in the Chatham Program are expected to have primary residence in Chatham
    • Core rotations done >40 km outside of Chatham will have 1 round trip mileage reimbursed and accommodations provided at designated locations or, upon submission of receipts, up to $600 will be reimbursed for alternate accommodation if designated accommodations are not available.

  • Stratford Program
    • Residents in the Stratford Program are expected to have primary residence in Stratford
    • Core rotations done >40km outside of Stratford will have 1 round trip mileage reimbursed and accommodations provided at designated locations or, upon submission of receipts, up to $600 will be reimbursed for alternate accommodation if designated accommodations are not available.
  • Windsor Program
    • Residents in the Windsor Program are expected to have primary residence in Windsor.
    • Core rotations done >40 km outside of Windsor will have 1 round trip mileage reimbursed and accommodations provided at designated locations or, upon submission of receipts, up to $600 will be reimbursed for alternate accommodation if designated accommodations are not available.

  • Regional Program
    • Residents in Tavistock, Ilderton, Strathroy and Mount Brydges are assumed/expected to have primary residence in the community where their teaching site is located (i.e., a resident in Tavistock is assumed to have primary residence in Tavistock).
    • As such, core rotations done >40 km outside of the community where the teaching site is located (Tavistock, Ilderton, Strathroy or Mount Brydges) will have 1 round trip mileage reimbursed and accommodations provided at designated locations or,  upon submission of receipts, up to $600 will be reimbursed for alternate accommodation if designated accommodations are not available.

  • Rural Program
    • Residents in the rural program are expected to have primary residence in the community where their family medicine training take place.
    • Core rotations done >40 km outside of the community where the teaching is located (Goderich, Hanover, or Petrolia) will have 1 round trip mileage reimbursed and accommodations provided at designated locations or, upon submission of receipts, up to $600 will be reimbursed for alternate accommodation if designated accommodations are not available.

Within two months of the core or SWOMEN elective rotation, please provide the name and location of rotation and:
