Expenses

ACCOMMODATION

The Department of Family Medicine will arrange and pay the supplier directly for your accommodation. You are not expected to pay for your accommodation upon your departure. If you have arranged your rotation with ERMEP, NOSM or ROMP they will have their own policies regarding accommodation.  Contact them directly for more information.   

MILEAGE

You will be reimbursed automatically for your mileage at the end of your Family Medicine Rotation. Expense cheques will be placed in your Western mail boxes and an email will be sent to inform you of its arrival. This is done automatically, and a travel claim form is not required.
 
Family Medical Centres - Those clerks who will be in Mt Brydges (SWMHC) for their two week Family Medical Centre Placement will be paid daily mileage. Mileage is not paid for placements at one of the other London Family Medical Centres.

Community Placement (Commutable Distance) - Clerks are expected to commute for Community Placements which are less than 50 km outside of London. You will be paid mileage according to a standard mileage chart supplied by Western, and therefore you are not required to submit gas receipts. Accommodations can be arranged if your placement is during the winter months and you would rather not commute (please contact the program coordinator at least 2 months before the start of your rotation to guarantee accommodations can be provided).

Community Placement (Non-Commutable Distance) - Clerks are expected to stay in the accommodations arranged by the Department of Family Medicine if the Community Placement is farther than 50 km away. You will be paid mileage for one trip to your placement and one trip home. Mileage is based on a standard Western mileage chart. Students can choose to stay in their accommodations for locations more than 50 kms away, but will only be reimbursed up to the amount allocated for accommodations. If accommodations are booked for students but they decide not stay in them, the Department needs to be notified at least 2 months before the rotation start date.  If this deadline is not met, the students will not be reimbursed for mileage in lieu of accommodations.    Please contact the program coordinator for more information.
 
Parking - Clerks may be expected to pay for parking while on community rotations.  The Department does not pay for any costs associated with parking while on clerkship rotation and students are encouraged to contact the practice in advance to find out what their options are. 

WINDSOR

Those clerks who are completing their 2 and/or 4 week placements in Windsor will need to contact Windsor Family Medicine Department to discuss travel and accommodation expenses.

For Windsor students who are placed in our rural communities for their rotation that are not commutable to London (more than 50 kms away), will be reimbursed as per the above policy. However, Windsor students who book rotations that are within commutable distance to London (under 50 kms) will be required to find their own accommodations as they will not be provided by the Department.   They will be given daily mileage to London, if applicable.   

RURAL MEDICAL PROGRAMS

If your Family Medicine Clerkship has been organized by ERMEP, NOSM or ROMP they are responsible for your travel and accommodation expenses. If you have any questions about their travel policies please contact them directly.

SPECIAL CIRCUMSTANCES 

If you were granted a special circumstances for either your 4 week or 2 week rotation, you are reimbursed for mileage and accommodation according to our policies above, as long as your placement is with a Department faculty member.   Any placements not with Department faculty will not be reimbursed for mileage, accommodation, or preceptor stipend.
